These Change Order Terms are part of the service agreement between AV Rental Miami ("Company") and the Client for audiovisual production, rental, staging, live event, and technical support services.
A "Change Order" is any modification to the originally approved proposal, estimate, invoice, production schedule, equipment list, labor schedule, venue requirements, setup schedule, or scope of work after Client approval.
Change Orders may include, but are not limited to:
- Additional equipment
- Additional microphones, speakers, TVs, lighting, staging, or pipe and drape
- Extended event hours
- Additional setup or strike time
- Venue changes or last-minute room changes
- Additional technicians or operators
- Changes requested by venue management
- Same-day technical requests
- Internet, power, rigging, or union-related changes
- Rehearsals added after approval
- Content playback changes requiring additional labor
- Rush delivery or expedited production requests
Any request by the Client, venue representative, meeting planner, presenter, or authorized event representative that alters the approved scope of work may be treated as an approved Change Order.
Change Orders are billed separately from the original agreement and may include:
- Equipment rental fees
- Additional labor charges
- Overtime labor
- Rush coordination fees
- Delivery or transportation fees
- Additional setup/strike charges
- Subcontractor or venue-related charges
- Hotel AV coordination fees
- Administrative/project management fees
Unless otherwise agreed in writing, Change Orders are billed at the Company's standard prevailing rates.
Last-minute or same-day requests may require emergency scheduling, expedited delivery, additional staffing, or third-party rentals.
If an event exceeds the scheduled production time, additional labor and equipment charges may apply, including overtime rates.
Delays caused by the Client, venue, presenters, attendees, or third parties may result in additional billable time.
The Client is responsible for communicating all venue-related requirements prior to the event, including:
- Load-in/load-out restrictions
- Insurance requirements
- Union labor requirements
- Electrical limitations
- Internet requirements
- Rigging restrictions
- Elevator access limitations
- Parking or dock fees
Unexpected venue requirements discovered after approval may result in Change Orders.
If additional equipment or labor must be sourced from third-party vendors due to Client changes, the Client agrees to pay all associated costs, including delivery, coordination, and rush fees.
Change Order charges may be:
- Added to the final invoice
- Charged immediately
- Required to be prepaid before additional services are rendered
Once additional equipment, labor, or subcontracted services are scheduled or dispatched due to a Change Order, those additional services become non-cancellable and non-refundable.
The Company is not responsible for production issues, delays, or failures resulting from:
- Last-minute Client changes
- Venue restrictions
- Third-party internet or power failures
- Presenter error
- Content compatibility issues
- Delayed approvals
- Insufficient setup time caused by schedule modifications
11 — Acceptance
By approving a proposal, making payment, or requesting services from AV Rental Miami, the Client acknowledges and agrees to these Change Order Terms and Conditions.
